ABOUT WALLA WALLA FOUNDRY
You've probably seen art built at Walla Walla Foundry but didn't know it. Walla Walla Foundry is one of the largest contemporary sculpture foundries in the world. Established in 1980, it now employs over 100 people and produces work in a range of materials and through multiple processes for some of the most well-known contemporary artists. Walla Walla Foundry was recently featured in The New York Times and described by artist Jim Dine as an extension of the artist's hand.

ABOUT THE JOB
This newly created position will provide oversight for all general Foundry inquiries and provide administrative support to the President. Working with the Client Relations/Project Coordinator, Project Managers, Project Management Assistants, President and other administrative staff, this onsite and public-facing role will assist in tracking progress of projects in production and facilitating timely communications among staff. This position will also provide admin support for special projects. We'll need someone who wants to learn our unique manufacturing and building process, and who also is polished and savvy so he/she/they can effectively communicate (verbal and written) about a wide variety of inquiries and needs. The successful candidate will approach work in an organized and professional manner and be flexible and adaptive in our fast-paced, team-based production environment.

JOB RESPONSIBILITIES

Monitor Foundry main phone line and general information email; respond to inquiries and disseminate information and/or forward emails to appropriate Foundry personnel
Greet scheduled and unscheduled Foundry visitors or tours; facilitate visitor sign-in process
Assist Client Relations / Project Coordinator in planning employee arrangements for installs, which includes securing equipment for installs, booking flights, hotels and calculating per diems
Working with the project management assistant(s), maintain and update database in NetSuite and Google Drive
Complete errands for project, client and/or employee support occasionally; drive between Foundry production locations as meetings or projects dictate
Provide administrative support to President, which includes scheduling client calls and meetings
Assist Client Relations/ Project Coordinator in keeping a list of in process Bids and client requests for new projects
Collaborate to determine shipping needs and coordinate with brokers to ship materials of final works. Provide any onsite coordination needed for shipping
Coordinate and take notes at project closeout and design dev meetings, update tracking programs and processes
Assist with special projects which could include Facilities, Security, Safety, Finance, HR, Equipment, and IT as needed
Other duties as assigned
KNOWLEDGE, SKILLS AND ABILITIES

Passion for contemporary art processes and a desire to work in an agile, fast-paced, deadline driven environment
Strong customer service skills; able to anticipate and adapt to client requests and timelines
Passionate about creating positive service experiences for external and internal stakeholders
Must be highly organized, with the ability to set priorities and manage time independently to meet deadlines for concurrent projects
Excellent communication, collaboration, research, and administrative skills.
High level of dedication and reliability; able to maintain confidentiality
Demonstrated ability to quickly learn and adapt to new databases and software programs
Excellent attention to detail and accuracy, able to achieve in a short amount of time a holistic understanding of various Foundry processes and materials, and a sensitivity to the artistic and aesthetic goals of each work
Intermediate computer and technical skills, including Google Suite and Microsoft Suite. Previous experience with an Adobe Suite and ERP software (like NetSuite) a plus
Clean driving record and valid driver's license

EDUCATION AND EXPERIENCE
AA in a relevant field such as communications, business, art history and minimum 2 years applicable professional experience; or equivalent combination of education/experience
Work/working experience could include:

Hospitality, customer service, retail and/or administrative support
Work experience in an artist studio, fabrication facility or arts administration is a plus.
Previous logistics and/or shipping experience a plus

THE FINE PRINT
This is an onsite position in Walla Walla, WA . Foundry work hours are 7 am to 3:30 pm. Most of your work will take place in an office environment. And you'll regularly go into the production environments (which can be loud, dirty, noisy, cold, hot, and where the magic is) where PPE is required. Post-job offer background check and drug screen (including a screen for THC since we're a safety sensitive production environment) required. Hourly pay is $20-25 to start (DOE), and overtime is likely. Competitive, comprehensive comp package includes health/vision 100% paid for employee, 401k with match, paid time off and more!
