Job Description:

The Manager, Payroll is a Full Time, Regular position typically working Monday-Friday day shift. Summary: Responsible for multiple companies & pay cycle payroll processing including biweekly and monthly pay dates. Directs payroll staff in carrying out duties to meet the goals and objectives of the payroll processes of all companies. Works closely with Human Resources Department and Accounting Managers to ensure pay and benefits policies are applied properly in payroll processing and posted to the general ledger. General Description: Coordinates the preparation and distribution of Inland Imaging Business Associates and various customer hourly/salary payrolls for multiple locations and states. Completes payroll processing which includes uploading employee pay files and payment of employee withholding to appropriate vendors. Assures that all legally required taxes/contributions and other deductions are withheld from paychecks. Prepares and files required reports and/or payments to government agencies, insurance carriers, health savings and flexible benefit providers, other organizations and individual employees. Manages resolution of payroll problems and inquiries. Essential Duties/Responsibilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Supervise payroll staff and provide leadership and guidance including coaching, mentoring, disciplining, training and evaluating staff members Lead payroll process improvement Integral in evaluating current payroll vendors and identifying alternative vendors when necessary. Works with outside consultants and third-party benefit plan administrators regarding benefit plan audits and administration as needed Manages and monitors the preparation, documentation and the distribution of hourly and salary payrolls for multiple companies and locations. Directs the preparation, documentation, and disbursement of net payroll, payroll taxes, and payroll deductions. Maintains accurate and timely reporting and payment of federal, state, and regulated payroll taxes. Prepares and files required reports and or payments to the government agencies, insurance carriers, and other organizations/vendors Recommends and implements payroll accounting controls and procedures Resolves payroll problems with employees and management Managers and maintains Payroll and Timekeeping system including: Review and maintain time codes to ensure pay is calculation is in compliance with FSLA and company policies. Reviews time records for proper calculation and flow of paid time into payroll for each pay period Oversees time records to ensure compliance with FMLA, leave of absence policies and procedures, and paid time off accruals Resolves time records issues/discrepancies with employees and supervisors Reviews and tests new time and pay codes to ensure accuracy of calculation, Troubleshooting and researching system issues including interfacing of time records into the payroll system Manages the Payroll accounting system including Pay code, Deduction code and Benefit code set up and maintenance Federal and multiple state payroll tax code set up and tax rate update maintenance Work with Human Resources to ensure HR initiated pay is properly set up for accuracy and completeness Manages the payroll posting matrix Ensures payroll general ledger reports are generated for each company every pay period Research journal entries, account reconciliations, payroll posting errors, profit sharing and vacation accrual inquiries. Other special projects and duties as assigned General Duties/Responsibilities: Ability to maintain strict confidentiality within the Inland Imaging companies and Inland?s customers. Honest, pleasant manner and good personal hygiene. Free of alcohol and drug abuse. Valid state driver?s license and proof of insurance. Excellent communication and interpersonal skills. Detail oriented; ability to multi-task; organized and able to work in a fast paced environment. Demonstrates self-directed learning and participation in continuing education through professional journals, approved seminars, etc. Adheres to departmental standards and personnel policies by demonstrating professional demeanor in conduct and appearance. Follows company departmental standards and personnel policies by using good teamwork and communication skills to help identify concerns and solutions, assisting where needed to ensure a smooth functioning department. Follows all Health and Safety policies and guidelines of Inland Imaging and its customers depending on work location Performs other duties as required by displaying team spirit and self-growth, accepting and performing other projects and responsibilities, and requesting other projects and responsibilities. Attendance is required for this position. Rotates to other shifts and locations as needed. Supervisory Responsibilities: There is a moderate level of supervisory responsibility in this position Advocacy: Treats all clients with dignity and respect Provides excellent customer service Conforms to Joint Commission and HIPAA regulations Complies with PHI (Protected Health Information) Demonstrates the Inland Imaging Core Values: Show We Care, Do The Right Thing, Maximize Individual Potential, Always Aim Higher Qualifications: -- Education: Bachelor's Degree in Accounting, Finance, Business Administration or other related field is preferred. Equivalent experience combination of education and applicable experience may substitute for a Bachelor?s Degree. -- Experience: o Minimum Five years payroll experience o Knowledge of payroll tax rules and experience in tax filing for multiple locations and states o Detail oriented, ability to multi task, prioritize projects depending on the demand, work in a fast paced environment o Advanced spreadsheet experience required o Medical industry experience preferred. o Experience with Payroll and HRIS systems such as Workday o Prior supervisory experience is preferable. -- Licensure: N/A -- Certifications: CPP required at time of hire, or ability to obtain within initial 6 months of employment. -- Computer Skills: Experience with the following computer applications is highly desired: Workday, Microsoft Office products (Outlook, Word, Excel, Power Point, Access, Visio, Publisher), Internet, Intranet, Microsoft / Great Plains Dynamics -- Background Check: o Must be able to pass a background check required by RCW 43.43.830-840 to work with children under the age of 16, developmentally disabled persons or vulnerable adults o In order to comply with provisions set forth in Sections 1128 and 1156 of the Social Security Act, all new employees of Inland Imaging Business Associates will be checked against the LIST OF EXCLUDED INDIVIDUALS provided by the Department of Health & Human Services, Office of the Inspector General (OIG).
