QUALIFICATIONS: Associate' Degree required, Bachelor's Degree preferred in Business or Human Services related field. A minimum of three years' experience in an Administrative Assistant or administrative support position is required, plus a minimum of one year supervisory experience in a healthcare office environment. A formal program leading to secretarial certificate/degree or equivalent can be substituted for up to 3 years of the experience requirement. Minimum 2 years grant oversight in the health field or a closely related area, preferably in a Tribal and/or Community Health Center. Must have a proven track record of success in reporting and retaining grants funding from multiple sources. Advanced knowledge of Microsoft Office (i.e. Word, Excel, etc.) required as well as E-mail and Internet experience. ADA ESSENTIAL FUNCTIONS Hearing: within normal limits with or without use of corrective hearing devices. Vision: adequate to read 12-point type with or without use of corrective lenses. Must be able to verbally interact with staff, clients and public. Manual dexterity of hands/fingers for writing and data entry. Able to lift up to 20 lbs. Standing 25 to 75% of the day. Walking 25% of the day. Pushing up to 25lbs. Pulling up to 25lbs. ESSENTIAL RESPONSIBILITIES: Coordinates work flow for Behavioral Health Department and maintains departmental calendar. Tracks productivity for departmental providers, creating reports using MS Excel or equivalent to be submitted and reviewed by Department Manager. Monitors departmental customer service to make sure it is provided in a complete, timely, efficient and professional manner. Monitors office systems and procedures for accuracy and efficiency. Provides administrative training and support of both full and part-time administrative staff. Provides first level technical support for IT, enterprise practice management, electronic medical records, office equipment and phone systems. Maintains department contact list and assists Department Manager in orienting new employees within the department to Administrative functions. Monitors and orders office supplies and coordinates repair work for office equipment. Functions as back up case manager for the SUD. Prioritizes work load and determines urgency of assigned tasks, to include referring appropriate resources for patients in need of urgent assistance. Acts as liaison to other departments, ensuring prompt response and cooperative efforts. Provides administrative assistance to the Behavioral Health Director and staff of the Behavioral Health Department. Develops, creates and maintains forms used in the documentation of patient care and communication with other agencies. Handles special projects for the department director and other staff as needed. Attends department staff meetings and serves as the recorder of meeting minutes. Types minutes and distributes in a timely and appropriate manner. Distributes memos, correspondence and information to other staff. Responsible for compliance with grants funding source reporting (progress and financial reports) and requirements. Works closely with Grants Manager on BH grant applications and successful implementation and compliance. Oversees BH grant budgets including drafting annual budgets, carry over, and ensures timely spend down of grant funds. Ensures the timely and accurate completion of all necessary reports as required. Assist with the review and update of policies and procedures to ensure grant and regulatory compliance. Works with and mentors staff who are grant funded program managers to ensure compliance with grant requirements. Acts as Project Director/Principle Investigator for awarded grants/contract when assigned by Department Manager. Abides by all company policies and procedures.
