The Event Coordinator is an integral part of our team and has the opportunity to regularly engage with students and numerous colleagues across various departments as we collaborate to host prospective students and their families on campus.POSITION PURPOSE:The Admission Event Coordinator coordinates all on and off campus events for admission related programs. These events include but are not limited to Fall Visitors Day, the Northwest Five Counselor Tour, Spring Visitors Day, Admitted Students Day, Fall Receptions, Yield Receptions and community-based organization on campus events such as College Horizons and college counselor tours. This position also helps with application processing and performs customer service as a member of the Office of Admission Operations team as needed.PRINCIPAL ACCOUNTABILITIES Create, manage and alter event timelines and ensure all details are executed. Research and recommend appropriate events venues; carry out site inspections as needed. Create and manage registration portals, forms, and rosters and track event registration. Develop related communication plans in coordination with the Communications team; track efficacy of communications and recommend alterations as necessary. Build recommended talking points for college staff event speakers and ensure they are appropriately informed. Oversee the creation, assembly and distribution of events schedule and day of materials for attendees in collaboration with the Events team using knowledge and data from previous events. Manage day-of event implementation including supervision of set-up, manage problems to ensure outcomes, assist speakers and monitor other event activities for attendees. Work with on and off campus colleagues to book locations, catering, technical support and any other event support needed. Develop and maintain relationships with key partners. Manage budgets for individual events and work with vendors and staff to stay within overall budget; make recommendations for future budgets based on analysis of previous data. Supervise and advise event-related student workers. Create and maintain materials for future Admission Event Coordinator.REQUIRED QUALIFICATIONS, SKILLS AND ABILITIESIndividuals must be able to explain and/or demonstrate that they possess the knowledge, skills, and abilities to safely perform the essential functions of the job, with or without reasonable accommodation. Computer skills including MS Office, Windows, and the ability to learn departmental software systems. Strong time management skills. Ability to prioritize and meet deadlines.
